📋 Information We Collect
We collect the following types of information depending on how you use our platform:
- School Information: School name, address, contact details, and affiliation number.
- User Accounts: Name, email address, mobile number, role (admin, teacher, parent, student), and profile photo.
- Student Data: Admission number, date of birth, gender, class, section, attendance records, fee payments, exam marks, and homework.
- Parent Data: Mobile number and relationship to student.
- Usage Data: Login timestamps, actions performed, IP address, and device information for security and audit purposes.
- Device Data (Mobile App): Push notification token for sending alerts.
🎯 How We Use Your Information
We use collected data exclusively to provide and improve our school management services:
- To operate the platform — attendance, fees, homework, exams, and communication features.
- To send notifications to parents about their child's attendance, fees, and school announcements.
- To provide schools with analytics and reports on student performance.
- To support billing and subscription management between Vikashana and schools.

We never sell, rent, or share your personal data with third-party advertisers or marketing companies.
🔒 Data Security
We take data security seriously and implement industry-standard measures to protect your information:
- All data is transmitted over HTTPS/TLS encryption.
- Passwords are hashed using bcrypt and never stored in plain text.
- Authentication tokens are generated per-session and invalidated on logout.
- Our servers are hosted on secure cloud infrastructure with regular security updates.
- Access to school data is strictly isolated — one school cannot access another school's data.
🏫 Data Ownership & School Responsibility
Schools that use Vikashana are the data controllers for their students', teachers', and parents' data. Vikashana acts as a data processor on behalf of the school.
- Schools are responsible for obtaining consent from parents and staff to use Vikashana.
- Schools control what data is entered, modified, and deleted within their account.
- On subscription termination, schools may request a full export of their data before deletion.
📱 Mobile App & Push Notifications
The Vikashana mobile app is available for parents, teachers, and staff. When you use the app:
- Your device push token is stored to send you school notifications (attendance alerts, fee reminders, announcements).
- You can opt out of push notifications at any time from your device settings.
- The app does not access your camera, microphone, contacts, or location.
🤝 Third-Party Services
We use a limited number of trusted third-party services to operate the platform:
- Expo (Push Notifications): Used to deliver push notifications to mobile devices. Expo processes device tokens in accordance with their privacy policy.
- Payment Processors: School subscription payments are handled securely. We do not store full card details.
- Cloud Hosting: Our servers and database are hosted on reputable cloud infrastructure providers.
All third-party processors are contractually bound to handle data securely and only for the purposes we specify.
⏳ Data Retention
- Active school data is retained for the duration of the school's subscription.
- After subscription cancellation, data is soft-deleted and retained for 30 days to allow recovery.
- After 30 days, data is permanently purged from our systems.
- Activity logs are retained for up to 1 year for security audit purposes.
✅ Your Rights
Depending on your role, you have the following rights over your data:
- Access: You can request a copy of the personal data we hold about you.
- Correction: You can update incorrect information through the platform or by contacting your school admin.
- Deletion: Schools can delete student, teacher, and parent accounts. Schools may request full account deletion by contacting us.
- Portability: Schools can export their data before cancelling their subscription.
- Objection: You may object to certain processing activities by contacting us.
👶 Children's Privacy
Vikashana is a school management platform used by schools to manage student records. Student data (including minors) is entered and managed by the school and is accessible only to authorised staff and the student's parents/guardians.
We do not directly collect personal information from children. All student data is submitted by the school on behalf of the child.
🌍 Data Location
All Vikashana data is stored on servers located in India. We do not transfer personal data outside of India except where required for the limited third-party services described above (such as push notification delivery).
📝 Changes to This Policy
We may update this Privacy Policy from time to time. When we make significant changes, we will notify school administrators via email and an in-app announcement.
Continued use of Vikashana after changes are posted constitutes your acceptance of the updated policy.
